Let’s Work!

     The legal bit

Below you will find some files that explain how I work. It is useful to read them before we start working together. And they are here to refer back to during therpay / coaching.

Online Agreement

What I have to offer:

I can offer you online counselling through email exchange. If needed we can also use text chat this will be done on an encrypted platform. [As technology and safety issues change so often I am not naming a platform here.]

I will provide to the best of my ability an environment that is  supportive and accepting in which you will be given time and space to explore and gain insight and focus on working towards agreed outcomes and goals.

This takes place before the ‘real’ therapy /coaching starts. And here we will briefly get to know each other and make a plan. How many sessions and will it be coaching, counselling or both. I will tell you a bit more about how I work. and this part of the work is of course free.

You can send me Emails whenever it suits you and you will get an answer from me within 3 work days at the latest. I do not check emails during the weekend or evenings.

You will be notified of my vacations timely.

In the event you have not heard anything within 72 hours, please send me another message as unfortunately Emails can get lost in cyberspace. I will do the same when I expect an email from you and it is not coming through.

I will number my emails, so the first one you will receive from me will be therapeutic mail 1. Upon receiving your email I will send you a brief reply stating that I have received it.

For therapeutic mails we will use encrypted email. Again I am not naming a platform here but I can assure you it will be something very simple to use.

You can make the email messages as long as you want; I will spend up to 50 minutes on each reply.

In answering my emails I recommend that you take your time to let the information fully sink in. And when there are homework assignments you might need a little time for them as well. And you are always free to send me emails if something is unclear to you. And I will try to reply to them as soon as I can. Please note that I do not check on evenings an the weekend.

The legal bit

The content of your work is confidential, within these exceptions.

Safe Haven Coaching is bound by Dutch law, so if I believe you are at risk, or putting others at risk, I might need to break confidentiality. In most cases I would endeavour to notify you of this first, although there are occasionally legal reasons why this might not be possible.

Also if I believe there is an emergency situation and you need more care then I can give you from a distance, I will ask for your permission to notify your GP/Doctor or another person you trust.

I have regular  sessions with my supervisor  were we discuss my work to ensure I am working in the most effective way to enable my clients to reach their goals. [During these sessions confidentiality is kept very strictly, no client names are mentioned to supervisors, so you can rest assured that your identity is protected at all times.]

I also hold insurance for my work online and an a member of NOBCO, the Dutch counselling association. As well as ACTO the association for counsellors and therapists working online.

My computer is password protected, and may not be used by anyone else. It is located in my private office. I keep my notes in a locked cabinet, electronic notes are kept on a password protected external HD. Please keep in mind that you might make sure that you take measures to insure your privacy online as well .

I will keep our emails for the duration of one year and will then destroy them, keeping only short notes of what we worked on and how long we worked on them.

Make sure that nobody has access to your emails by keeping them in a safe place, or to insure that nobody uses the computer you store them on.  When you write your emails please find a quiet spot where you cannot be disturbed by others and can freely write what you want.

Online Privacy:

Social media is everywhere so like most people I have a private online presence there. I would like to ask you to respect my privacy [as I will respect yours] I will not add you as a friend on Facebook or other social media. You are however free to follow my professional pages.

A note on what we write together. Sensitive topics are touched upon in counselling. What I share with you in emails, chat and further notes is my intellectual copyright and I would appreciate it if you did not reveal any of the work we do together on any website or blog to which other people have access.

In case of illness I would appreciate it if you would let me know if it affects your emailing or keeping appointments for live sessions. If I am ill for more than a few days I will let you know as well.

Working online means that there are occasionally technological problems. Emails do still get lost unfortunately. The upside of working with email is that you don’t have to worry about a fast connection.

If I do not hear from you that you have received my email within a week of sending it, I will resend it, in case there has been a problem. If I then do not hear from you, I will assume that you do not wish to continue working with me. If at any point in our work together you decide that you wish to end our contract, I would very much appreciate it if you would let me know this.

We will keep track of progress during the course of therapy / coaching. When we come to the end of the agreed on number of emails you can decide if you have been helped enough or if you would like to continue.

If I think another online counsellor is better suited to help you, I will let you know and will help you get in contact with him/her. If I think face to face counelling would be more beneficial for you, I would help you find a counsellor near you.

When we decide to work together I will send you a copy of this agreement and my general terms and will ask you to confirm that you have read them and agree with them by sending them back signed.

Then it is all set to start working together.

Article 7: Termination

Subsequently the Client is obliged to pay the invoices for the activities performed until that moment.

In that event, Client shall owe interest equal to the current statutory commercial interest. The interest on the amount due and payable shall be calculated as from the day the client is in default until the moment he has paid the amount in full, while a part of a month counts as a full month.

The notice of default must give as detailed a description as possible of the shortcoming, so that Safe Haven Coaching is in a position to respond adequately. A complaint does not suspend the payment obligation of the Client, in as far as Safe Haven Coaching has notified Client in writing [or email] that it regards this complaint as (partially) justified.
11.2. In case a complaint is justified, Safe Haven shall as yet perform the work activities as agreed, unless this has proven pointless for the Client. The Client shall then give written notification [or email] of this.

Social Media Code

Why a social media code?

These days most people’s lives revolve around the computer. We have friends offline and online.  That is no different for me. For a counsellor it is important to keep private life and work separated, in fact we are bound to do so through our Ethical Code. That means I cannot become friends with you online, even after we have ended our work together.

What does that mean practically?

You are very welcome to follow my professional pages. But I will not add you to my personal pages. For example you are very welcome to follow my professional Facebook page where I share tips about online counselling and chronic pain. But I will not add you to my personal Facebook page.

I promise that I will not google your name to try and find out extra information about you. And ask you to do the same.

Sharing counselling information

The last thing I want to cover here is the information we share through chat and email. I will never use parts of those emails and chats online in a blog. If I wanted to write a professional paper, I would ask your permission first. Even with your permission I would do it in a way that you would be anonymous.

And I would like to ask you not to share our work on your blogs and social media.
